Overview

A travel and tour agency's secretary is in charge of providing administrative assistance to guarantee the smooth running of the business. This position helps managers and staff with a range of organizational and communication-related duties. It also ensures that assignments are completed properly, provided with excellent quality, and done on schedule, which contributes to the agency's overall performance.

Responsibilities

• Oversee daily office tasks and keep an inventory of office supplies. • Plan and organize managers' and staff members' appointments, meetings, and travel. • Drafts, memos, emails, reports, and letters are just a few of the documents you may create and edit. • Respond to consumer questions and offer details on travel and tour offerings. • Help customers with reservations, modifications, and cancellations for travel and tours. • Handle consumer concerns politely and professionally. • Ensure that all information in client files is correct and current by maintaining and updating them. • Use caution while handling sensitive and private information. • As needed, create and disseminate reports on a daily, weekly, and monthly basis. • Serve as the liaison between managers, staff, customers, and outside partners. • As needed, take messages, forward calls, and answer and direct calls. • Take care of deliveries, parcels, and mail coming in and leaving out. • Plan and organize travel for customers, making hotel, airline, and car rental reservations. • Help with tour planning and coordination, making sure that all the details are taken care of effectively. • Encourage the creation of trip packages and travel schedules. • Preserve a spotless and well-organized workplace. • Keep an eye on office spending and take care of basic bookkeeping duties. • Make sure every piece of office equipment is properly repaired and maintained.

Requirements

• HND or above; further training as a secretary or administrative assistant will be helpful. • verified experience in secretarial or administrative work. • proficiency with Word, Excel, PowerPoint, and Outlook in Microsoft Office. • Excellent ability to prioritize tasks and manage time well. • strong attention to detail and organizing abilities. • exceptional communication abilities both in writing and speaking. • the capacity to function both alone and together. • An emphasis on customer service as well as social skills. • Possessing knowledge of trip booking tools and software is advantageous.
